5-minute guide to getting the most out of RiderHQ Other guides
Once you have your event listed, here's a quick guide to making RiderHQ work for you.
In a nutshell
- Circulate your event URL widely
- Upload a picture
- If you receive postal entries, add them to RiderHQ
- Contact us for more help..
The most important step is to help riders find your event. The best way of doing this is to get other websites to link to your event page - it should be a smooth transition from reading about a race on a news site to visiting RiderHQ and entering. London Cyclesport is a very popular site for racing in the South East, BC are also a major site, and there are many discussion forums such as veloriders, which may help. It can also be worth distributing flyers at other events and printing posters.
Add a picture, this improves the look of your event page and gives it some flavour. For example you could use a picture from a previous event or you could use your club's emblem:
- Go to your event page
- Click on the 'Add picture' link at the top
- Upload an image file
Keep your page up to date. It's a good idea to enter postal entries into RiderHQ as soon as you receive them, it's your choice whether you mark them as 'paid' or 'not paid', but either way it ensures everyone's on same page(!)
- Go to your event page
- Click on the 'Add entry' link at the top
- Input entry details and click 'save'
Upload a programme. If you produce a programme document for your event, giving details of the course, officials, sponsors and so on, upload it to RiderHQ. That way everyone can access it. You can email the link out to riders (where they have provided an email address), which saves on postage, and if you need to make corrections you can upload a new version at any time.
- Go to your event page
- Click on the 'Upload programme' link at the top
- Upload your programme file (e.g. PDF or Word document)
- To email out the link to entrants:
- Click on 'Download entrylist'
- Open the .csv file you downloaded
- Copy the email addresses into your mail programme
- Write a message and include your event URL
- Send!
When you want to close entries, update RiderHQ. You can tell RiderHQ to stop accepting entries at any point, and switch entries back on again whenever you like. You can also stop accepting payment, but still let riders register interest (for example you might have a full field, but in the event that people drop out you can contact those riders that have registered but not paid).
- Go to your event page
- Click on the 'Edit details' link at the top
- Choose the 'event status' you want from the drop-down at the top, these are:
- Do not accept entries online
- Accept entries, do not accept payment online
- Accept entries and payment online
- Entries closed
