This graph shows entries for a recent event, initially the field was open to 60 riders, however following strong online demand the organiser applied for permission for a larger field - this was granted and within 10 days the event was sold out again.

Most of our events get a full field or close to one before the start day. You choose the deadline for accepting entries - keeping it open until the night before is the best way to secure a full field. Riders often enter last minute to avoid a wasted journey, and it is better for you as their payment is guaranteed. Generating a signing-on sheet is easy: before the HQ opens just use our one-click link.

You can still accept postal entries in the usual way, so riders have a choice of how to enter. Add the riders on the event page and they will be included in the signing-on sheet and in the results.

3 Steps to list your event on RiderHQ

  1. Register as a user (or login
  2. Fill in a new event form
  3. You will be taken to your new event's 'homepage' (something like http://www.riderhq.com/events/natsevent), check the details are correct - if not click on the 'edit' link to change them.

As soon as your event is listed, riders can enter via RiderHQ, and pay the entry fee by credit card. Your event's home page will automatically be updated to show who has entered and who has paid.

You can send your event's homepage URL to websites like the BCF and London Cyclesport who may help with advertising.

How do I close entries for my race?

When do I receive my entry fees?

Entry fees will be released to you immediately following the date of the race. We can either send you a cheque or transfer the entry fees direct to your bank account via BACs, at your choice.

What are the fees?

We charge 5% of the entry fee plus 70p for all entrants who pay online. By default we add this to the price you set as a separate 'transaction fee' in the entrant's shopping basket. If you wish we can include the fee in the amount charged to the entrant, and deduct it before passing on payments to you. There is no charge for riders who choose not to pay using the website, e.g. by sending you a cheque or turning up on the day with cash.

What if I already have entries for my race, or I receive entries in the post?

You can enter in the entry details to the site manually, or send us the file (e.g. a spreadsheet) and we'll upload them in one go.

You can show these entries as having paid by ticking the 'paid' checkbox when editing or entering their details.

Can I add a link to my own website/ club website?

Yes - there is a box for this on the 'edit event details' form

Can I download details (addresses, names emails etc.) of riders who have entered my event?

Yes - you can download the full details of riders who have entered your event using the 'download entry list' link that appears on the homepage of your event when you are logged in. The file is in CSV (comma-separated values) format which you should be able to open in Excel, OpenOffice or many other programmes

How do I close entries for my race?

Login and select 'edit details' for your race. Set the event-status to 'Entries closed'. It is a good idea to do this just before you print your sign-on sheet.
